About Noatune
Noatune is an independent, Scandinavian-influenced writing and recording studio based in Netil House, Hackney - next to Broadway Market & London Fields. We operate multiple high-end studios used for writing sessions, vocal recording, production, mixing, and commercial voiceover/post work. We take pride in high standards, clear communication, and a consistently strong client experience.
We’ve hosted sessions with artists such as RAYE, Tom Odell, Paloma Faith, Jessie Ware, Pet Shop Boys, The Blessed Madonna, Denzel Curry, Kojey Radical and many more. We have also delivered commercial recording/voice work for brands including IKEA, KFC, Apple, Uber, Zara Home and others.
The role
This is an operations and bookings role for a hardworking, reliable and highly organised individual who loves music and has a solid understanding of the key elements of recording and music production.
You will run the day-to-day studio operation: handling enquiries, advising clients, converting leads into paid bookings, maintaining studio readiness and cleanliness, managing runners, coordinating engineers/freelancers, and ensuring an excellent client experience.
This is a highly client-facing position and requires strong people skills: friendly, confident, calm under pressure, and easy to work with.
We have implemented strong systems and automation (CRM, booking workflows and invoicing) which you will use day-to-day to keep operations running smoothly.
Onboarding & success: You’ll be supported closely by the studio owner with daily check-ins during onboarding, and you can lean on our staff for context and handovers. Long-term success in this role means the day-to-day operation runs reliably without ongoing owner involvement in routine tasks.
Key responsibilities
- Respond promptly and professionally to enquiries (email/WhatsApp/phone)
- Advise clients on studio processes and realistic booking durations (recording/editing/mixing workflows)
- Prepare and send clear quotes, follow up appropriately, and convert enquiries into paid bookings
- Maintain client relationships and encourage repeat bookings
- Ensure studios are clean, stocked, and session-ready
- Manage runners and consistently uphold studio standards
- Coordinate engineers/freelancers where required
- Handle issues calmly and professionally to protect the client experience
- Ensure deposits/invoices are issued accurately and on time
- Follow up overdue invoices weekly (polite, organised, consistent)
- Handle label/corporate invoicing requirements where needed (e.g., POs, finance contacts, payment terms)
- Maintain clear notes and records to support finance processes
- Sales follow-up & rebooking (after onboarding): follow up unconverted enquiries, re-engage previous clients/members, and upsell where appropriate
- Membership & writing camps (retention): support and retain our member community, organise a simple monthly member mingle, and run 6–12 writing camps per year (review applications, help match groups, and host camp weekends in a welcoming, organised way)
Requirements (minimum)
3+ years professional, customer-facing experience with real responsibility (operations, venue/hospitality management, retail management, studio/space operations, admin/coordination, etc.)
Team lead / duty manager / supervisor experience
Hands-on recording/production experience (home studio is fine) — you must understand session workflows well enough to advise clients confidently
Strong written English and confident phone manner (quotes and follow-ups are a core part of the job)
Confident handling difficult conversations: comfortable dealing with complaints, awkward situations, and enforcing standards with clients and staff in a calm, professional way
Highly organised, reliable, and proactive
Comfortable managing runners and enforcing standards
IT-literate / computer-savvy: confident with modern tools (CRM, calendars, spreadsheets such as Excel/Google Sheets)
Currently living in London with a reliable commute to Hackney (ideally ≤40 minutes)
Preferred
Experience in a commercial studio or creative workspace environment (e.g., recording, rehearsal, post/AV, video/photo studios, content/production spaces)
Further education/training (degree or diploma)
Experience handling corporate invoicing and PO processes
Working hours
Full-time (40 hours/week), mostly 10am–6pm Monday–Friday, on-site. Studio work occasionally requires flexibility during busy periods and may involve urgent out-of-hours support (e.g., client issues or last-minute bookings). Where there is substantial additional work outside normal hours, time off in lieu may be agreed at the owner’s discretion and subject to operational requirements. Due to the nature of the role and the studios operating into evenings and weekends, it is not strictly “9–5” with a complete switch-off at all times. The more organised and proactive you are in the day-to-day, the less out-of-hours work will be needed.
