The Post-Production Booker is responsible for coordinating and scheduling post-production resources across projects, ensuring the efficient allocation of internal artists and external freelance support. This role plays a key part in maintaining smooth day-to-day operations by balancing project requirements, artist availability and delivery timelines.
The successful candidate will be highly organised, proactive, and comfortable working in a fast-paced production environment where priorities can shift quickly. Strong communication and attention to detail are essential to ensure resources are booked accurately and schedules are kept up to date.
Key Responsibilities
- Schedule and manage bookings for internal post-production artists across multiple projects and departments.
- Coordinate the onboarding and scheduling of external freelance talent in line with project needs and budget approvals.
- Maintain accurate and up-to-date resource schedules using designated scheduling or resource management tools.
- Act as a central point of contact for booking requests from producers, project managers and department leads.
- Monitor resource availability and flag potential scheduling conflicts or capacity issues.
- Adjust bookings in response to project changes, deadlines or priority shifts.
- Communicate daily schedule updates and changes to relevant stakeholders.
- Support the tracking of freelancer usage, booking durations and timesheet or invoice submissions.
- Ensure booking records and documentation are maintained in accordance with internal processes.
- Assist with forecasting resource requirements based on upcoming project demand.
- Contribute to the continuous improvement of scheduling workflows and processes.
Required Skills and Experience
- Strong organisational and time management skills with the ability to manage multiple requests simultaneously.
- Excellent attention to detail and accuracy in scheduling and record-keeping.
- Clear and professional communication skills, both written and verbal.
- Ability to prioritise tasks and respond effectively to changing deadlines.
- Comfortable working with spreadsheets, scheduling systems or project management tools.
- Collaborative approach with the ability to build positive working relationships across teams.
- Problem-solving mindset and willingness to escalate issues when appropriate.
Desirable Skills
- Experience working in post-production, media, broadcast or creative production environments.
- Familiarity with resource scheduling, booking or traffic coordination processes.
- Understanding of post-production roles such as editors, motion designers, colourists and sound specialists.
- Experience coordinating freelance or contract talent.
- Exposure to project management or resource planning tools (e.g., Productive, Farmers Wife, Float, or similar systems).
